Introduction
The Retired Police Officers’ Association Scotland (RPOAS) is a not-for-profit organisation which lends support and assistance to its members in safeguarding their general rights as retired police officers and in promoting measures for their general welfare and enhancement of life. This statement explains how the RPOAS will use your personal information.
What information do we collect about you?
We collect personal information about you when you apply to join RPOAS, including your name, age, date of birth, pension number and contact details.
How will we use the information about you?
The personal information which we collect about you may be used:
- To circulate the Association’s Magazine
- To advise you on changes that may affect your rights as a retired officer in receipt of pension
- To enable you to benefit from Group purchasing discounts and schemes
Lawful Basis for Processing
Contract – Some of the information we collect about you is collected on the lawful basis of a contract as you have applied for membership and we need to process your personal data in order to consider your application and to:
- Confirm your identity
- If your application is approved, to share the information with your local Branch and the National Secretary and Treasurer to allow you to enjoy the benefits of being a member of RPOAS
- Contact you about your application or any other matter relative to the business of RPOAS
Legal Obligation – Some of the information we collect about you is collected on the lawful basis of compliance with a legal obligation to which RPOAS as a data controller is subject, and, where appropriate, we will:
- Comply with a common law or statutory obligation
- Document our decision that processing is necessary for compliance with a legal obligation
- Identify the appropriate source for the legal obligation in question
Consent – Some of the information we collect about you is collected on the lawful basis of consent as you have given RPOAS clear consent for us to process your personal data for specific reasons, namely to keep you informed about changes in your pension rights, welfare and enhancement of life, and members’ benefits. We consider this basis for processing to be necessary because prior to you providing this information we have:
- Obtained an explicit statement of consent from you and we will keep a record of this
- Offered you control over the use of your personal information
- Made it easy for you to withdraw your consent and advise how this can be done

You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please email or write to us at the address given below. We want to ensure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.
